Summer accommodation is available from Saturday 1 July to Saturday 23 September 2023.

  • Xenia stays can be booked in weekly blocks of between 1 to 12 weeks.
  • Evelyn Garden stays can be booked for a minimum of 10 weeks up to 12 weeks.

Prices will vary depending on the length of your stay.

Who is eligible to apply?

To be eligible for a place in the Summer Halls you must be enrolled as an Imperial student for the duration of your stay.

We welcome applications from Imperial College pre-sessional English, UROP and Medical Elective students.

How do I apply for summer accommodation?

You can apply online by completing a summer in halls application form. Applications will open from mid-April.

Can I stay in summer accommodation for one day only?

No, bookings can only be made in full weeks and individual days cannot be booked.

If the booking you request is not a full week, the end date of your stay will be extended when sending an offer, i.e., if you apply to stay at Xenia for 2 weeks and 1 day, you will be offered and charged for 3 weeks.

Please be aware Evelyn Gardens can be booked for a minimum of 10 weeks, i.e., if you apply to stay for 10 weeks and 1 day, you will be offered and charged for 11 weeks.

Can I pay for the accommodation by instalments?

Payment can be made in instalments as long as the due balance has been paid in full prior to arrival.

We do not offer payment plans and our halls do not have payment facilities, if you have any difficulties regarding payment please contact the Accounts Receivable Team at accountsreceivableoffice@imperial.ac.uk

What if I change my mind once I have accepted the offer?

You may be entitled to a refund depending on when you notify us as outlined in our cancellation policy. The list of cancellation notice periods and their associated charges are outlined below.

Cancellations

Should you fail to provide the notice stated in our terms and conditions, you will be liable to pay one of the above cancellation charges or the total amount of the booking. If you fail to cancel your booking prior to arrival, you will be liable to pay for the full stay and you will not be entitled to receive any refunds. 

If you wish to cancel your accommodation booking, you must put this in writing to studentsummeraccom@imperial.ac.uk

If I have paid for a set period but decide to leave early, can I get some money back?

No, you will not receive a refund if you depart early. 

If I book accommodation after 01 July 2023, would I still be expected to pay in full?

Yes, all payments for summer accommodation must be paid in full before accommodation is occupied. 

What rate would I be expected to pay if I booked for 4 weeks at Xenia and then decide to stay on for another week for example?

All bookings are treated separately and are subject to availability. Should you wish to book for another week, the short stay rate will apply. 

How do I pay?

Can you guarantee that I will get my room of choice?

You will have the opportunity to place your room choices in order of preference in your application, but we cannot guarantee that you will receive one of your preferences.

Please be advised that room changes are only permitted on medical or wellbeing grounds.

Evelyn Gardens

The Hall office at Evelyn is open from 09.00 to 17.00 on weekdays when the Hall Supervisors will be on site to assist. Outside of these hours, our Concierge team will be present at the Reception to allow room access.

Xenia

Reception at Xenia is open from 08.00 to 18.00 on weekdays. Our Security team will be present to allow room access outside of these hours and on weekends. 

 

Where can we go if we are asked to leave our current halls of residence at 10.00 but cannot move into summer vacation halls before 16.00?

The rooms you will be moving into will have been occupied by previous residents and we need time to clean and prepare for your arrival. 

Students currently living in halls who have booked summer accommodation will be contacted prior to 01 July 23 with specific check-in information and arrangements.

If you arrive early on Saturday 01 July 2023, you will have the option to leave luggage in a locked storage area until you check-in. Please be advised that items are stored at your own risk, and we would advise you not to leave valuables. Storage will not be available after this date.

Will I have access to a safe?

No, unfortunately we do not provide a safe in any of our halls of residence. While the College does have basic contents insurance coverage, this may not cover all your valuables.

How secure are the rooms?

All our halls have 24-hour CCTV and swipe card entry systems.

Both Evelyn Gardens and Xenia have a 24-hour security team available in the hall. You are advised to you lock your door whenever you leave your room.


What is provided in my room? What will I need to bring?

All study bedrooms are equipped with a bed, chair, wardrobe, chest of drawers, notice board, bookshelf, desk, desk lamp and blinds. Communal kitchens and bathroom / shower rooms are located near study bedrooms.

All halls are equipped with mobile-app operated laundry rooms.

What do I need to bring?

You will need to bring your own pillows, duvet, bed linen, cutlery, crockery, pots, pans and cooking utensils. Do consider that storage space within the rooms is limited.


Is there bike storage on site?

Unfortunately, there is no bike storage available at Xenia or Evelyn Gardens. 

Will I have internet access in my room?

Most areas of Imperial College London campuses and Halls of Residence have WiFi coverage, though we do recommend using a wired connection for the fastest access. To register your machine or device for use on the Halls of Residence network in Evelyn Gardens, follow these steps:

  1. Plug one end of an Ethernet cable into your device or adapter and the other end into any College data socket
  2. Open a web browser and you will be redirected to the College self-registration webpages
  3. Follow the registration steps as directed

If you encounter any issues with the self-registration process, contact the ICT Service Desk.

If you are allocated to a room at Xenia, you will receive access instructions upon arrival.

Can I smoke in my room?

All Imperial Campuses and sites are smoke-free. Smoking or vaping is not permitted in any of our halls of residence.

Will I have access to communal areas during summer?

Yes, Evelyn and Xenia both have common rooms.
